The Dominus Today screen: all caught up, rent coming due on the 1st, move-outs, move-ins, evictions and security deposits

Every screenshot on this page shows a fabricated demo portfolio.

The model reads. Code decides. You send.

Every money figure and rule is computed by code. Nothing is recorded until you accept it, and Dominus never sends mail for you.

Who it is for

Owning rentals means running a back office

Dominus is for owners of a handful to a few dozen rental homes, often held in LLCs or a family trust, who manage themselves or work with a small property manager.

The bank

Rent lands in more than one account: an LLC’s, or Zelle to your own number.

The mail

Tenants, warranty companies, the HOA and insurers, in each property’s inbox.

The leases

Deposits, renewals, late fees and signed copies, across every tenancy.

The entities

A family trust and LLCs, and a CPA who wants the year’s figures by owner.

The bills

Township taxes, water and sewer, sorted by who pays: owner, escrow or tenant.

The repairs

Tickets, home-warranty claims and service fees, and evictions when they come.

The product

Everything a landlord’s week touches

Rent, matched from the bank

  • Bank statements (CSV or OFX) matched to each lease by payer, memo and timing, across accounts.
  • Rent by year, month by month, with when and where each payment arrived.
  • The year’s total matches Schedule E line 3, and rent that crossed a year’s edge is named.
  • A CSV for your CPA. Anything unclear goes to a short review.
Rent by year for one property: 10 of 10 months paid, the account each payment reached, the Schedule E total, and a note that January’s rent arrived on Dec 31

The mailbox, read for you

  • Each property’s whole email history read by the AI.
  • It proposes records: warranty claims with claim number and fee, repairs, late fees, short payments, notices to vacate, deposit decisions, renewals.
  • Marketing and newsletters are ignored. Nothing is recorded until you accept it.
  • Replies drafted in your style. You send them from your own mail.
From the mail: proposed records from a property’s mailbox, including a warranty claim with claim number and fee, a kitchen repair and a waived late fee

Every lease, and what it still lacks

  • Tenant contacts, rent month by month, the security deposit and its return.
  • Late payments with no fee noted.
  • The signed lease on file, or not.
  • One click fixes common data mistakes, like a duplicate lease or rent in the wrong month.
Lease checks: the current tenancy with the deposit held, one late month with no fee noted, a signed lease missing, and findings to review

Built around how owners hold property

  • A family trust, series LLCs, a master LLC, and the homes under each.
  • The year’s accounting rolled up by owning entity, prepared for the CPA.
  • An owner view and a manager view. A manager sees the rentals and never your own home, enforced in the database.
LLC structure: a tax-year rollup by owning LLC, and the ownership tree from the owner through a family trust and a holding LLC to each property

Today

One screen of what needs you: rent to review, stale bank data, leases ending, evictions, and what’s coming up.

Home warranties

Contract PDFs read for number, plan, dates and service fee, each checked against the PDF’s own text. Expiring contracts flagged.

Township bills

Tax and water/sewer accounts watched and sorted by who pays. Records read automatically for New Jersey townships on Edmunds.

Deposits and evictions

Deposits held and the trust account they belong in. Each eviction step and date your attorney gives.

A trail you can trust

Every change in a tamper-evident audit log. A screen that fails says so, never “all caught up”.

Import in one go

The whole portfolio from one Excel workbook. Importing again updates rather than duplicates.

Anywhere you own

Every US state, India and the UK

Each property in its own currency: dollars, rupees and pounds, never added together.

Properties: rentals across every US state, each card marked whether its state’s rules are loaded

United States

On your phone

The portfolio in your pocket

  • An alert when a tenant emails a property, and a summary every morning at 8.
  • A warning if a mailbox stops being checked.
  • Ask Dominus: questions about your portfolio, answered from your own records. Photos too.
  • Installs to your home screen like an app.

Private by design · Dominus Appliance and Home

Your data and its AI stay in your house

With the Appliance and with Home, Dominus runs on a small machine in your home or office, with the AI models on that machine. Only a relay that stores nothing reaches the internet for it.

Tenant data, bank statements and mail never go to a cloud AI service.

The box always calls out. The relay cannot call in.

Mail is read, never changed: nothing is marked, moved or deleted.

The same screens, rules and tests in all three. Mail is read, never changed, and phone alerts are sealed before they leave, in every edition. The Appliance is in pilot: tell us about your portfolio and we will be in touch as places open.

Clear limits

What Dominus won’t do

Move money

It reads bank statements. It never pays, transfers or collects rent.

List or sign

No listings, no leasing funnel, no e-signature. It starts once a lease is signed.

Send for you

Drafts wait for you. You send them from your own mail.

Act alone

Every finding is a proposal until you accept it.

Give tax advice

Figures are prepared for your CPA. Not tax advice.

Practise law

Legal rules for Texas and New Jersey only. Eviction steps are your attorney’s.

Questions

Straight answers

Does my data go to a cloud AI?

With the Appliance and with Home, no: the AI models run on the machine in your house, and tenant data, bank statements and mail never go to a cloud AI service. With Dominus Cloud, the AI is Google’s Gemini on Vertex AI. Your data is stored in Google Cloud in the US.

What is Dominus Appliance?

The private edition without the setup. We ship a sealed Dominus box with the AI models on it. You plug it in at home, and it keeps every record on its own encrypted disk. It reaches the internet only through our relay, which stores nothing, for mail, phone alerts and off-site backups that only you can unlock. It is in pilot now; join the list to be one of the first.

What happens if the box breaks?

Your nightly backup is encrypted with a key only you hold and kept off-site. A replacement box restores it, and you carry on where you left off.

Does Dominus collect rent or move money?

No. It reads your bank statements and matches each payment to its lease. It never pays, transfers or collects anything.

Which states are covered?

Properties in every US state are tracked. Legal rules are loaded for Texas and New Jersey; every other state is marked “no rules yet”, and rules are added only after research and review. Properties in India and the UK are tracked in their own currency, with no local rules loaded.

Can my property manager use it?

Yes. A manager gets a manager view: the rentals and the work, never your own home. That is enforced in the database, not only in the screens. Decisions above their limit wait for you.

Do I have to type everything in?

No. Your portfolio comes in from one Excel workbook, bank history from each account’s statement file, and mail by connecting each property’s mailbox.

Is this tax or legal advice?

No. Figures are prepared for your CPA, chartered accountant or accountant. Dominus is not a law firm; it records the steps and dates your attorney gives.
